3 Data Retention
In most cases, all data is permanently deleted within 30 days of your confirmed request. However, certain records may need to be retained for a limited period in the following circumstances:
Legal & compliance obligations: If required by law (for example, financial records relating to any paid subscription), we may retain the minimum necessary data for up to 7 years in accordance with UK HMRC accounting requirements. This data is held securely, is not used for any other purpose, and is deleted as soon as the legal obligation expires.
Anonymised aggregate data: Non-identifiable, anonymised usage statistics (e.g. number of rotas created) may be retained for service improvement purposes. This data cannot be linked back to you in any way.
If your church administrator has independently exported or stored rota data outside of Simple Church Rota, we are not responsible for data held in those separate systems. We recommend contacting your church directly if you have concerns about data they hold.
4 Your Other Rights
Under UK GDPR, you also have the right to request a copy of the data we hold about you, or to ask us to correct inaccurate data, before choosing to delete your account. To exercise any of these rights, use the email address above.
For further information, please read our Privacy Policy. If you believe your rights have not been respected, you may lodge a complaint with the Information Commissioner's Office (ICO).
